About this policy

Who we are

Selr AI helps Australian business owners adopt AI. We run in-person workshops, an online course, done-with-you install engagements, in-house team training and a members community.

Selr AI is a trading name of Heka Corporation Pty Ltd (ACN 678 725 301) as trustee for the Heka Family Trust (ABN 40 156 575 753). Our office and workshop studio is at Unit 2, 40 Pacific Avenue, Miami QLD 4220, Australia.

What this policy covers

This policy covers our websites, our booking and payment flows, our workshops and events, our online course and community, and any install or consulting work we do for you. It also covers the emails and messages we send you.

We handle personal information under the Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where a third party collects your information directly, such as a payment provider or a community platform, their own privacy policy applies to that collection alongside ours.

Information we collect

Information you give us

  • Name, email address, phone number and business details you enter into our forms, booking pages and applications
  • What you tell us on a call, in a workshop room, in a support message or in our community
  • Business context you choose to share so we can build or advise on something, which can include how you work, what tools you use and what your numbers look like
  • Billing details you enter at checkout, which are collected and processed by our payment provider rather than stored by us
  • Photos, video and audio recorded at our workshops and events, where we have told you recording is happening

Information we collect automatically

  • Device and browser information, IP address, and the pages you view on our sites
  • How you found us, including the ad, link, campaign or referral that brought you here
  • Whether you opened an email we sent, and which links you clicked
  • Cookies and similar identifiers set by us and by the analytics and advertising tools listed below

Information from other sources

  • Advertising and social platforms, which tell us when someone who saw or clicked an ad went on to enquire
  • Publicly available business sources, such as the Australian Business Register, when we verify a business you have given us
  • Partners and referrers who introduce you to us with your knowledge

We do not go looking for sensitive information. Please do not send us health, financial account or identity documents unless we have asked you for them for a specific reason.

Why we use it

Delivering what you bought

We use your information to run the workshop, course, install, training or membership you signed up for, to get you into the room or the platform, to answer your questions and to stay in touch about your booking.

Running the business

We use it to take payment, issue invoices, keep our accounts, meet our tax and record keeping obligations, protect our sites and accounts from misuse, enforce our terms and respond to lawful requests.

Marketing and measurement

We use it to send you follow up and offers you can opt out of at any time, and to measure which content and advertising works so we spend money on the things that do.

Cookies and tracking

The tools we use

Our sites use cookies and similar technologies. Some are needed for the site to work. Others help us understand how people use the site and how our advertising performs.

The tools we currently use for this are Meta Pixel and its conversions API, Google Analytics and Google Tag Manager, the LinkedIn Insight Tag, and Microsoft Clarity. They may set cookies, record aggregated behaviour on our pages, and match activity back to an advertising profile held by that platform.

Managing cookies

You can block or delete cookies in your browser settings, and you can adjust ad personalisation inside your Google, Meta and LinkedIn account settings. Blocking some cookies may stop parts of our site working properly.

Marketing messages

What we send

If you give us your details, we may send you email or SMS about our workshops, course, community and services. We send marketing under the Spam Act 2003 (Cth).

Opting out

Every email has an unsubscribe link. You can reply STOP or OPTOUT to an SMS, or email us and ask to be removed from everything. We do not sell or rent your contact details to anyone.

Who we share it with

Service providers

We share personal information with the providers who run parts of our business for us. That currently includes:

  • GoHighLevel, for our CRM, forms, email and SMS
  • Stripe, for payments
  • Google Workspace, for email, calendar, documents and storage
  • Vercel, for website hosting
  • Skool, for our members community
  • Meta, Google, LinkedIn and Microsoft, for advertising measurement and analytics
  • AI providers, where a tool we use to run our business processes your message or document to produce a result

Legal and safety

We disclose information when the law requires it, when we need it to establish or defend a legal claim, or when it is necessary to protect our rights or someone's safety. We also share with our accountants and professional advisers under their own duties of confidence.

Business transfers

If our business is sold or restructured, customer information moves with it. The buyer takes on the obligations in this policy.

We do not sell your data

We do not sell your personal information, and we do not rent or trade our contact lists.

Confidential business information

What we treat as confidential

If you show us the inside of your business during an install, a workshop or a call, we treat that as confidential. We use it to do the work you asked for. We do not share your commercial details with other clients.

Using your story

We do not use your name, your logo or your results publicly without your permission. If you give us a testimonial or agree to a case study, we will use it the way we agreed and you can ask us to stop using it later.

Storage and security

Where it is stored

Several of the providers above store data outside Australia, including in the United States and the European Union. When we use them we take reasonable steps to make sure your information stays protected to a standard consistent with the Australian Privacy Principles. By giving us your information you agree to it being stored and processed this way.

How we protect it

We use access controls, encrypted connections, password managers and two factor authentication on the accounts that hold your information, and we limit access to the people who need it. No system is completely secure, so we cannot promise absolute protection, and you share information with us knowing that.

Data breaches

If a breach happens that is likely to cause you serious harm, we will notify you and the Office of the Australian Information Commissioner as required under the Notifiable Data Breaches scheme.

How long we keep it

Retention periods

We keep enquiry and customer records while you are dealing with us and for as long as we need them afterwards for our legal, tax and accounting obligations, which is generally seven years for financial records. Marketing contacts are kept until you unsubscribe or ask to be deleted.

Recordings and content

Photos and recordings from events are kept as part of our content library unless you ask us to remove them, in which case we will stop using that material going forward.

Your rights

Access, correction and deletion

You can ask us for a copy of the personal information we hold about you, ask us to correct anything that is wrong, ask us to delete information we no longer need to keep, or ask us to stop sending you marketing.

Making a request

Email us and we will get back to you within a reasonable time, normally inside 30 days. We may need to confirm who you are first. There are some things we cannot delete, such as records we are legally required to keep, and if that applies we will tell you which parts we kept and why.

Complaints

If you are not happy with how we have handled your information, tell us first and we will try to sort it out. If you are still not satisfied you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

Children

Our services are built for business owners and their teams. They are not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, contact us and we will delete it.

Changes to this policy

We update this policy as our business and our tools change. The current version always sits on this page with the date it was last updated at the top. If we make a change that materially affects you, we will tell you.
